Employee Time Cards

Being the Director of a Child Care Facility we use the Employee Time Cards to do our payroll.  I had a staff memeber that added hers up to be sure that it was correct and she got a different amount of hours than the print out did.  We were wondering if there was a way that we could fix that so all our time cards are correct.  We have added up our other ones to be sure it wasn't just that one and it happened to about 10 of the 24 we printed.

SmartKids - Thanks for your question. Time card hours should add up correctly. I'd be curious to know what numbers you are comparing and what report(s) you are specifically looking at. One possibility could be if you have time cards set to display HH:MM (hours and minutes) then you would not be able to just added up the lines on a report, for example 7 hrs 45 minutes would be displayed 7:45. If you were using decimal format HH.HH then it should be fine, in which case the same time would be displayed as 7.75 (7 and 3/4 hours). See the Hours Format FAQ. If that doesn't seem to be it Contact Tech Support and we'll look into it further with you.

What is the best way to setup different locations?  Is the only way when we converted or is there a simple way of creating a location and placing the appropriate children and staff in that location?

You can add location names at any time at the Regions & Schools screen. If you have already converted people into another location you could Move a Family. Moving an employee would be similar. Basically you add them as an "Existing Person" to the new location then mark them as hidden in the old location. Make sure to mark the appropriate "Primary Location" on the employee's Information & Relationships screen.

Note: Of course you will need Licenses for each module you wish to use for the new location.

 My question is "is there a way to print only actural hours on a time card report and not the rounding up hours?"

There is no report with just actual hours. If employees are signing the actual hours, they would probably expect to be paid on actual. If you pay on actual hours, I'd turn rounding off in configuration, since it isn't being used. Once rounding is turned off, actual and rounded are the same times on the timecard reports (as of the date you changed it in configuration).

Is there a way for the employees to see the actual time at check in station rather then rounded time. I needed rounded time for when I print total hours because I pay based on their schedule but they are always questioning why it is saying a different time when they clock in or some that are 5 mins late are thinking I do not know cuz it rounds it back to the hour. Thank you!

The Check-In station displays the time (actual or rounded) that they are going to be paid for. Displaying actual, and paying rounded would be more confusing.
The best way for people to understand their rounded time is to have them sign a timecard report that has the words "Actual and Rounded Times" on it.
